News:
All,

Lots of changes have and are taking place with the site. We are standing up (already in production) a new gallery in which we'd like for everyone to post pictures in. New threads everyday in the various boards. A new recruiting and membership board in which we'd like for all of the current members to participate in and offer feedback, suggestions or solutions. We are still waiting to get feedback in regards to the email addresses in the 'Suggestions' forum, and are working on our local prod (sandbox/test site) which with we can research new features and changes before we add them to our prod site.

Continue to post and join in on the daily discussions in the OT board, and feel free to start up new threads.

Using this thread to discuss all of the details for Maxus 2009 with planners of the event, some of which are not on the org.

This includes decisions in reference to location, sponsors, events, activities, and responsibilities of those involved.


Location
It's been narrowed down to the option of two locations based on where the major tracks that aren't too far out of the way of major beltways.

Annapolis, MD & Frederrick, MD

Annapolis because it's the closest track to Capitol Raceway and to the parks of interest that we are looking to have the BBQ take place. Not too mention the city itself is beautiful, sits on the water and has a bunch of places for really good shots, and dining. And the drive from there to the race track is on an open four lane mostly straight highway on which we can have a LOT of fun.

Frederick is also being considered because of it's proximity to Summit Point Race Track. Frederick is a very nice town centered in a somewhat mountainous area in northern MD. Lots of fun back country roads to test out those brakes and suspension, as well as a nice drive to the track. In addition there's a casino out that way.



Events

Track, BBQ, & Friday Meet and Greet

So far these are the main, and primary events that we've scheduled. The Schedule breaks down into days below. We'd like to have alternatives to the main events for people to attend or places we can send people for photo shoots, visits of landmarks, etc. We need someone to take on this task.


Friday -We'll have people coming in between 4-8pm so we want to have a big meet and greet at a restaurant so everyone can meet up and get to see each other. Choosing the restaurant will be the hardest part, considering the sheer numbers we will have (expecting at LEAST 100 cars that first day). We need someone to take on this task.

Saturday -
We hope to do the track event on this day, it depends on the availability. Right now we are still waiting to her back from Summit Point about their availability and price. Capitol's season for next year is completely open right now, although they'd prefer us to do it on Sunday, Saturday is available to us should we book it far enough in advance.
Sunday - Will be the day of the BBQ. There are two locations being considered right now in Annapolis, one is Sandy Point Beach, and the other is Cedarville State Forest.

What is Known
Cost to rent Capitol Race Track for the day $10,000
Availability of Capitol for next summer is wide openCapitol Will Allow us to charge whatever we want as an entry fee to those coming (i.e. $10 for Maxima's, $15 for all others)
Both parks have full availability for June & July right now
Capitol will take 5% of whatever our total is from the entry fee on that day

What is Unknown
Where to go for food/activities on Friday night
Activities on Saturday Night
Details for the BBQ
Sponsors (list of - who to reach out to)


Sponsors
NWP is going to take a very big role in this like the last one so they of course will be a major sponsor, but given the cost of the BBQ and the track especially we are going need at LEAST five major sponsors contributing $2,000 a piece. We need a lot of input for this task

For Friday, how about choosing an area that has several restaurants in the same huge parking lot.  It will allow everyone to park together while not overwhelming a single restaurant.

There are several places like this in NC, probably near some kind of shopping center or mall.  Just a thought.

Okay. Well so far as food is concerned there's a few options that I can forsee working out for us

Which is located in a plaza/shopping center that has a LOT of parking, as well as an outback, bertucci's and a Mexican restaurant all in the same complex that is shown on the map.  OCB will also work with us so far as a group rate IF i can give them a solid number in advance.

Regular price is - $12.95 per adult
I'm going to give them a call and see what the price is for the Group Discount

What do you all think? It's not the classiest place but it will serve our purpose, and we can probably get everyone in there.

I like that date.

And I think a buffet is the ONLY way to go with this large crowd.  We can have a large room set aside just for this dinner.  And it will also be in a location where others can go elsewhere to eat while the car stays in the parking lot.
